The maintenance file

Structuring the maintenance file for technical equipment makes it easy to identify the technical characteristics, operating status and maintenance carried out on each piece of equipment. It is an essential tool for the smooth running of the preventive maintenance program. The file includes all relevant maintenance information and references to the various manuals.

Historical report: the historical report is used to identify recurring problems, to help find the cause, and to modify inspection periods if necessary. It is also used to compile repair costs to justify, among other things, possible replacement or investment. It compiles a kind of summary of the relative information for each repair where costs have been charged. It contains the date, a brief description of the intervention, the work order number, the downtime and the costs involved.

In other words, each line of the historical report summarizes the need for an intervention report, i.e. a work order.

Preventive maintenance log

The preventive maintenance sheet must enable equipment components to be checked at reasonable intervals to minimize failure.

It contains the following information:

  • Equipment identification;
  • Equipment components to be checked (classified by group: safety, mechanical, hydraulic, pneumatic, electrical and lubrication);
  • The task to be carried out on these items (with precise action verbs: check, clean, adjust, measure, replace, etc.);
  • The trade involved (operator, mechanic, electrician, electronics technician, plumber, subcontractor, other);
  • Inspection periods (in terms of operating hours or fixed frequency: daily, weekly, monthly, every 3 months, every 6 months, annually, etc.).

As a general rule, inspection periods are defined using the manufacturer’s maintenance manual, troubleshooting and repair history, and the observations and recommendations of maintenance personnel. If preventive maintenance is not effective, the frequency of operations must be adjusted. Over time, maintenance personnel will improve the records.
